Your email provider already picked for you.

If the company runs on Gmail and Drive, Gemini is the assistant sitting in every inbox. If it runs on Outlook, Teams and SharePoint, Copilot is. The Copilot vs Gemini comparisons ranking for this keyword run from about 1,900 to 5,800 words, and almost all of them land on that same rule: pick the AI that matches your suite, because migrating mail and files to get a different chatbot is a terrible trade. I agree with them. I would not move a 30-person company off Google to get Copilot, or the other way around.

What they spend less time on is how differently the two companies charge for the thing. Google folded Gemini into the price of every Workspace business seat. Microsoft sells Copilot by the seat, to whoever you choose. That one difference decides how you should roll it out, and it is the part of this decision you actually control.

For the chat assistants on their own, outside the office suites, see our ChatGPT vs Claude vs Gemini workflow guide. If you are a small team still assembling a stack, our AI tools for small business roundup covers the rest of it.

What each one actually is

Gemini for Workspace is Google's model built into Gmail, Docs, Sheets, Slides, Meet and Drive, plus the Gemini app itself. It drafts and summarizes email, writes in Docs, and helps with formulas in Sheets. Which of those you get depends on your plan, and the cheapest plan gets noticeably less.

Microsoft 365 Copilot is the paid assistant inside Word, Excel, PowerPoint, Outlook and Teams. The reason to pay for it is grounding: it reads your mail, meetings, chats and files through Microsoft Graph, so "summarize what the client said about the renewal" pulls from the actual threads. Microsoft also gives business users Copilot Chat at no extra cost. That free version answers from the web and from files you hand it. It does not go looking through your work data.

Gemini comes with the seat. Copilot is a second purchase.

Google prices are from workspace.google.com as of October 2026. Microsoft's come from its June 2026 Partner Center notice, which lists the $18 standalone Copilot Business price as a 15% promotion extended through December 31, 2026. After that, expect the list price, which resellers quote at $21.

Gemini: the one you already paid for

In January 2025 Google stopped selling Gemini as a separate add-on and raised Workspace prices instead. Business Standard went from $12 to $14 a user a month. That $2 is, in effect, the AI line item, and every seat pays it whether that person opens Gemini or not.

For most Google shops this is a decent deal. Nobody has to file a procurement request to try it. The catch is Business Starter. At $7 you get Gemini in Gmail and the standalone Gemini app, and that is roughly where it stops. The writing help in Docs and the Meet features that make the bundle worth having start at Standard, so a company sitting on Starter has the weakest version and may be judging Gemini by it.

The weakness I keep running into is uneven adoption. When something is included and costs nobody anything visible, nobody owns it. A few people use it daily, most try it once in Gmail, and it fades.

Copilot: the one you have to justify

Copilot costs real money per head. Copilot Business is Microsoft's answer to that complaint, a cheaper version for companies of up to 300 people, with no seat minimum, sold at $18 on the current promotion against $30 for the enterprise license.

What you get for that money is the Graph. Copilot in Teams can recap a meeting you missed using the transcript. In Outlook it can catch you up on a long thread. In Excel it works on the sheet you have open, which is where the comparisons I read tend to give it the edge. All of it knows who your colleagues are and what they have sent you, which the free Copilot Chat does not.

And because it is a line item, someone has to decide who gets it. That is annoying, and it is also the advantage.

The part nobody does: licensing only the heavy users

Take a 25-person company. On Google Workspace Business Standard, the Gemini share of the bill is about $2 a seat, so $50 a month across everyone, and you cannot opt any seat out. On Microsoft, putting Copilot Business on all 25 people costs $450 a month at the promotional price. Put it on the six people who live in Outlook and Teams all day (the account managers, plus whoever writes the board updates) and it costs $108.

That is the move I would make on Microsoft. Leave everyone else on Copilot Chat, watch which of the six use it every day for a month, and add seats only when someone else asks for one by name. The people who ask are the people who will use it.

On Google you cannot do that, and you do not need to. The money is spent. Your job is the opposite one: make sure the people with the most email and the most meetings actually turn it on, because the included seats they ignore are the waste.

Two rules I would hold to:

  1. On Microsoft, never buy Copilot for the whole company on day one. The per-seat price punishes optimism.
  2. On Google, check the plan before blaming the AI. A Starter account showing Gemini only in Gmail is working as sold.

If the bigger draw for your team is meeting notes, a dedicated note-taker may beat either suite's built-in version. Our AI meeting assistant comparison covers the standalone options.

Which one to pay for

Stay with Gemini if you are on Google Workspace. Move off Business Starter if you want the AI to matter, because Standard is where it reaches Docs and Meet, and the price difference is $7 a seat a month.

Buy Copilot if you are on Microsoft 365, but buy it narrowly. Copilot Business at up to 300 users is the sensible starting point for most small and mid-size companies, and the $18 promotion runs until December 31, 2026. Start with the handful of people buried in mail and meetings.

If you are split across both, which is common (Gmail for email, Excel for everything with numbers), choose by where your people spend the day, and that is usually the inbox.

Frequently Asked Questions

Is Gemini included in Google Workspace?

Yes. Since January 2025 Gemini has been part of Google Workspace Business and Enterprise plans rather than a separate add-on. Business Starter gets Gemini in Gmail and the Gemini app; Business Standard and above add Gemini in Docs, Meet and other apps.

How much does Microsoft 365 Copilot cost for a small business?

Microsoft 365 Copilot Business is $18 per user per month on a promotion Microsoft has extended through December 31, 2026, for organizations of 1 to 300 users on annual billing. It is added on top of a Microsoft 365 business plan. The enterprise Microsoft 365 Copilot license is $30 per user per month.

Is Copilot Chat the same as Microsoft 365 Copilot?

No. Copilot Chat is included with Microsoft 365 business plans at no extra cost and answers from the web and from files you give it. The paid Microsoft 365 Copilot license adds grounding in your mail, meetings, chats and files through Microsoft Graph, inside Word, Excel, PowerPoint, Outlook and Teams.
